Position Details

We are seeking an experienced Administration Officer to join our dedicated Palm Lake Care Toowoomba team. This is a Casual role working between Monday to Friday 8am-5pm to provide essential clerical and receptionist support to the Service Manager while handling administrative tasks related to the aged care residence.

 

Responsibilities

Reporting to the Service Manager, you'll be instrumental in assisting smooth day-to-day operations and contributing to a welcoming and efficient environment for residents, staff, and visitors. Key duties will include:

  • Manage rosters and staff scheduling, ensuring timely shift replacements.

  • Handle visitor sign-ins and maintain accurate records.

  • Provide front desk reception support, including visitor sign-ins and general enquiries

  • Assist with HR administration, including onboarding and exit documentation.

  • Support accounting tasks such as invoicing, banking and financial documentation.

  • Coordinate uniform orders for staff.

  • Foster professional relationships with residents, staff, and external stakeholders.

  • Maintain confidentiality and comply with all workplace policies and procedures.

What We’re Looking For

To thrive in this role, you will bring:

  • Previous experience in an administrative role (aged care experience desirable).

  • A current National Police Clearance.
  • Strong administrative skills, with the ability to diligently follow internal systems and processes.
  • Excellent computer literacy across MS Suite & rostering software
  • Excellent time management skills, able to autonomously balance competing priorities and deadlines.
  • Refined verbal and written communication skills, delivering timely, empathetic responses that create a genuinely personalised experience.

You'll Stand Out If You Have:

  • Experience in an Aged Care or Healthcare environment
  • Payroll and rostering experience
